Summer may seem like the ideal time to roll out a new exam platform. The volume of assessments is generally lower, midterm and final exams are still a few months away, and teams have a window of time to prepare for the transition.<\/p>\n

But that window closes quickly.<\/p>\n

Switching to a new exam platform is not simply a matter of replacing one tool with another. It involves migrating existing exams, integrating the new solution into the institution\u2019s technology environment, providing guidance to faculty, preparing user support, and ensuring that the platform can meet the demands of exam periods.<\/p>\n

For universities and CEGEPs, where multiple teams and faculties may be involved, the transition can quickly become an institutional project.<\/p>\n

Here are seven challenges to anticipate as you prepare to roll out a new exam platform before fall.<\/p>\n

1. Underestimating the scale of exam migration<\/h2>\n

When an institution already has hundreds or even thousands of questions and exams on an existing platform, starting from scratch is generally not a desirable option.<\/p>\n

However, migration can be more complex than it seems.<\/p>\n

Question types, settings, question banks, and exam structures may vary from one platform to another. Some content may need to be adapted or validated after it is transferred.<\/p>\n

Before getting started, it\u2019s a good idea to take stock of the existing exams and determine which ones actually need to be available by the fall.<\/p>\n

The choice of a new platform can also make a significant difference. A feature that allows you to import exams can greatly speed up the transition, especially when a large volume of content needs to be transferred.<\/p>\n

However, the goal is not simply to move the content quickly. We must also ensure that the exams function as intended once they are in their new environment.<\/p>\n

A migration strategy should therefore take into account the volume of content, its complexity, the current platform, and the institution\u2019s timeline.<\/p>\n

2. Assuming that adoption will automatically follow implementation<\/h2>\n

For the project team, the new platform could represent a significant improvement.<\/p>\n

For someone who has been using the same tool for several years, it represents a change, first and foremost.<\/p>\n

The steps for creating an exam may differ. The menus may have changed. Some terms used on the old platform may not correspond to those on the new one. Even relatively simple processes may require some time to get used to.<\/p>\n

And the more ingrained these habits are, the more important it is to prepare for the transition.<\/p>\n

Change management should therefore be part of the project from the very beginning.<\/p>\n

In particular, it may be helpful to identify the different user profiles, clearly communicate the reasons for the change, and provide training tailored to the tasks each group will need to perform.<\/p>\n

A teacher who creates and sets up exams does not necessarily need the same training as someone responsible for administering them.<\/p>\n

Quick guides, demonstrations, and faculty contacts can also help facilitate adoption.<\/p>\n

The goal isn’t just to show users where to click, but to help them understand their new processes.<\/p>\n

3. Discovering dependencies with your existing systems too late<\/h2>\n

An exam platform does not necessarily operate in isolation.<\/p>\n

It must integrate into an institutional environment that may include an LMS, authentication systems, user management processes, and other tools used before, during, or after an assessment.<\/p>\n

Integration with institutional platforms\u2014including LMSs and SSO\u2014is, in fact, one of the needs identified for universities and CEGEPs.<\/p>\n

Before deployment, the administrative and IT teams should therefore have a shared understanding of how the new platform will fit into this ecosystem.<\/p>\n

What data needs to be exchanged between the systems? How will users access the platform? Which systems will remain responsible for which information? What dependencies could impact the conduct of an exam?<\/p>\n

Ideally, these issues should be addressed early in the project.<\/p>\n

An integration that works in a test environment does not, by itself, guarantee that the entire exam process will function as expected.<\/p>\n

4. Allocate funds for the platform, but not for launch support<\/h2>\n

The acquisition and implementation of a new solution naturally account for a significant portion of the project budget.<\/p>\n

However, the support needed during the transition may be underestimated.<\/p>\n

The first few weeks of use are precisely when questions are likely to be most frequent. Faculty members are learning new processes. Administrative staff are adjusting their work methods. Students are entering a new environment.<\/p>\n

Without an adequate support plan, IT and administrative teams can quickly become the point of contact for all these issues.<\/p>\n

Before the launch, it is therefore important to clarify the support model.<\/p>\n
